Essential Details for Teams and Participants

Thank you for joining On The Diamond Baseball! We’re excited to welcome everyone as we look forward to a weekend of great baseball, weather permitting. Please review the important information and requirements below to ensure a smooth experience.

Event Overview

•Dates: August 16-17, 2025

•Location: 1711 Meadow Lane, Midlothian, TX 76065

•Games start at: 8:00 AM

•Event flyer: Contains full details on times and locations (please review separately)

•Schedule: Official schedules will be distributed to all registered teams by the Wednesday preceding the tournament

Rules and Regulations

•All tournament rules follow the USSSA Baseball rule book unless specifically stated otherwise.

•For comprehensive or detailed rules, refer to the official USSSA rule books (linked in the event flyer).

Refund Policy

Team Withdrawal Before a Weekend Event

•On or before 21 days prior: Full refund

•20 days before up to when schedule is posted: Full refund minus $100 withdrawal fee

•After schedule is posted, if a replacement team is found 48+ hours before event: 50% refund

•After schedule is posted, if no replacement team is found 48+ hours before event: No refund

•Within 48 hours of event start: No refund, regardless of replacement, and teams must notify the director

Withdrawal Before a National Championship Event

•By entry deadline: Full refund of entry and gate fees

•After entry deadline: No refund of entry or gate fees

Refunds for Cancellations or Shortening of an Event

•No games started: 80% refund

•Less than ½ games started: 50% refund

•½ or more games started: No refund

Fees

•Team Entry Fee: $300 per team

•Gate Fees: $10 per person (ages 13 and up) $5 per person (ages 5-12)

Pay at the Plate (per game):

8u & 10u – $50

12u & 14u – $60

Gameplay Details

•Game Duration:

•8u & 10u – 1 hour 30 minutes (unless Drop Dead Rule applies)

•12u & 14u – 1 hour 45 minutes (unless Drop Dead Rule applies)

Drop Dead Rule: When the time limit expires, the game ends immediately—no finishing the inning or reverting to a previous inning.

Prizes

•First Place: Rings plus $300

•Second Place: Rings

Required Registration Documents

Each team must provide:

•Proof of Insurance

•Team roster including: Full Name; Age; Date of Birth; Player Position; Jersey Number

•Payment receipt for entry fee

•Division for which your team is playing

Additional Eligibility Requirements

•All teams must have copies of birth certificates for every player present at the tournament.

•If a player’s eligibility is questioned and a birth certificate cannot be produced, the individual will be asked to leave.

•If the issue happens a second time, the team forfeits the game in question.

Summary of Required Insurance Coverage

All teams participating in On The Diamond Baseball (OTDB) must provide a certificate of insurance for their team/participants before their tournament session. If your team does not already have insurance, you can purchase a policy independently.

You are required to add On The Diamond Baseball (OTDB) (details below) as an additional insured on your policy. This can typically be done free of charge by contacting your insurance provider. The certificate of insurance must be received no later than the day before the first day of the event.

Minimum Insurance Requirements:

General Liability: $1,000,000 per occurrence
$2,000,000 aggregate
$5,000 each participant
Teams that do not have On The Diamond Baseball (OTDB) listed as additional insured, or that do not carry the required insurance, will not be allowed to participate in OTDB Events. No exceptions.

Submitting a Schedule Request
OTDB allows teams to submit schedule requests for pool play, with the following guidelines:

Deadline: All schedule requests must be submitted at least 4 days before the tournament start date.
Block Policy: Each team may request to block out one 4-hour period during pool play when they cannot play. For example, if a team cannot play after 2pm, they can request a block from 2pm to 6pm.
Bracket Play: No schedule blocks are permitted during bracket play; requests apply to pool play only.
Submission Method: To submit your 4-hour pool play block request, send an email to infor@onthediamondbaseball.com. Include your team’s name and specific time block in your message.
Priority: Schedule requests are processed on a first come, first prioritized basis. The tournament staff work diligently to accommodate as many requests as possible, but accommodations are not guaranteed.
Bringing Outside Food and Coolers
Outside food and coolers are allowed at the tournament.
The Head Coach is permitted to bring one cooler into the venue free of charge.
All additional coolers, regardless of size, require a $10 fee per cooler.
Note: Please plan accordingly and ensure that anyone bringing an extra cooler is prepared to pay the applicable fee upon entry.

Rosters and Waivers

All team rosters are locked on the evening before the first day of the event. It is essential that every player appears on the public teams page by the official cutoff. Players who do not have a signed waiver prior to the deadline are not eligible to participate. If a parent is unable to sign or approve the waiver for their player before the cutoff, please contact the tournament organizers immediately for assistance. This ensures that every eligible athlete can take part and all rules are followed.

Event Behavior Policy

OTDB enforce a strict ZERO TOLERANCE POLICY regarding disrespectful, adverse, or abusive behavior. Any individual—fan, parent, player, or coach—engaging in such conduct will be ejected from the event. The organizers are committed to providing a safe and supportive environment for all participants and will not tolerate any behavior that endangers or disrespects children at their tournaments.

Roster Requirements

All rostered players must be approved by their parents so that they are publicly viewable by other teams. Each team must have at least eight approved players listed on their roster prior to the start of the event to be eligible for play. If you encounter any difficulties with parents accessing or approving their player’s information, please reach out to the tournament staff for assistance to ensure your team’s eligibility.
